2. The information we collect

- Your name
- Your email address
- Your telephone number
- Your installation address, and billing address if different
- Details about your property and requirements — for example whether you own or rent, your parking arrangements, and your timescale
- Your vehicle and charger preferences
- Your marketing preferences

In addition:
- Details of the installation, including survey notes, photographs of the site and the completed work, and completion records
- Information needed to apply to your electricity network operator for permission to connect the charger
- Warranty and aftercare records
- Payment and invoicing information
When you visit our websites
Automatically:
- Your IP address, device type and model, operating system, browser type and language
- Which pages you visit, how you arrived, and what you interact with
- Advertising click identifiers, where you reached us through an advert
- Information stored in cookies and similar technologies — see section 7
When you contact us or give feedback
The content of your message, and any feedback you choose to give. Taking part in feedback surveys is always optional.
Telephone calls
We record telephone calls to and from our main business numbers. We do this for two reasons: to keep an accurate record of what was discussed and agreed, and to train our staff and maintain the quality of our service.
We keep recordings for up to 24 months. Where a recording relates to a dispute or a claim, we may keep that particular recording for longer, until the matter is resolved.
You can ask for a copy of a recording of a call you took part in, using the contact details in section 1.
3. Why we use your information, and our legal basis
This is what we use your information for, and the legal basis we rely on for each:
- Responding to your enquiry and preparing a quote — Steps taken at your request before entering a contract
- Carrying out the installation, and providing warranty and aftercare support — Performance of our contract with you
- Applying to your electricity network operator for connection approval — Our legal and regulatory obligations, and performance of our contract with you
- Notifying the installation under the Building Regulations — Our legal obligation
- Taking payment for your installation — Performance of our contract with you
- Keeping accounting and tax records — Our legal obligation
- Sending you marketing about our products, services, offers and news by email and text message — Your consent
- Sending existing customers information about similar products and services — Our legitimate interests, where you have been given a clear opportunity to opt out
- Keeping our websites secure and working properly — Our legitimate interests in operating a secure, functioning website
- Understanding how our websites and adverts perform — Our legitimate interests in improving our service and our marketing, together with your consent where cookies require it
- Showing you adverts that are relevant to you, including on social media and other websites — Your consent
- Recording telephone calls for business records, training and quality — Our legitimate interests in maintaining accurate records and service standards
- Handling complaints, disputes, and insurance or legal claims — Our legitimate interests in establishing, exercising or defending legal claims, and our legal obligations
Where we rely on legitimate interests, we weigh our reasons for using your information against your rights. If you would like to know more about how we do that, or you disagree with it, contact us — you can also object to it.
Do you have to give us this information?
You are never obliged to give us your personal information, but some of it we genuinely need:
- Your name, contact details and installation address are necessary for us to enter into a contract with you. Without them we cannot prepare a quotation or arrange a survey, and we will not be able to take your enquiry forward.
- Your property details and electricity supply information are needed because we are required to notify your Distribution Network Operator and to notify the installation under the Building Regulations. Without them we cannot lawfully complete an installation.
- Everything else is optional. Other details help us quote accurately, but you don't have to provide them, and not doing so won't stop us quoting.
- Agreeing to marketing is entirely optional and has no effect on your quote, your installation, or the service you receive.
Automated decisions and profiling
When you make an enquiry, we also ask a few questions to work out whether your installation is likely to qualify for a government grant. This is worked out automatically from your answers, and it affects the price we quote you. It is not a decision about whether you actually receive a grant — that is decided by the grant scheme, not by us.
A member of our team always prepares your quote, and a person is always involved in decisions about your price and whether we carry out work for you. If you think the grant answer is wrong, or you would like someone to look at it again, contact us using the details in section 1 and we will review it.
If you choose to spread the cost of your installation using a finance option, the finance provider makes its own decision about your application, and that decision may be automated. It is their decision rather than ours, and their own privacy policy will explain how they use your information and what rights you have in relation to it.
4. Marketing — your choices
We only send you marketing by email or text message if you have told us you want it, by ticking the opt-in box on one of our forms. Ticking it is optional and never affects the quote or service you receive.
If you opt in, we may contact you about our products and services, offers and promotions, EV charging tips and guidance, our customer community, referral rewards, and occasional deals from partners we work with, such as energy suppliers.
If you have had an installation from us, we may also send you information about our own similar products and services, and you can opt out at any time in the same ways.
You can stop hearing from us at any time:
- Click unsubscribe at the bottom of any marketing email — this stops our marketing emails
- Reply STOP to any marketing text message — this stops our marketing texts
- Email us at enquiries@plugin-stations.com and ask us to stop — this stops all marketing from us
When you opt out, we keep a minimal record of your details on a suppression list. This is so we can make sure you are not contacted again by mistake. We do not use that record for any other purpose.
Your right to object to marketing
You have an absolute right to object to your personal information being used for direct marketing, including any profiling related to it. If you object, we will stop using it for that purpose immediately.
You do not need to give a reason, and it will never affect the service you receive from us.
To object, contact us at enquiries@plugin-stations.com or use any of the opt-out methods above.
Our WhatsApp community
If you accept an invitation to join our customer WhatsApp community, we will use your telephone number to add you. Administrators of the community can see the telephone numbers of members. You can leave at any time using WhatsApp's own "Leave community" option. WhatsApp is operated by Meta, and its own terms and privacy policy apply to your use of it.
5. Who we share your information with
We never sell your personal information. We share it with the following:
Our suppliers, who act on our instructions:
- Our customer relationship and marketing platform, which stores your contact details, your enquiry and your marketing preferences, and sends our emails and text messages. This is provided to us by our marketing agency and is hosted in the United States
- Our marketing agencies, who run our advertising and landing pages and can access the enquiries submitted through them
- Our lead and call tracking provider, which records which advert or search brought you to us and receives the details you submit through our forms
- Our telephone system provider, which handles our calls and stores call recordings
- Our website hosting and security providers
- Approved subcontractors, who carry out installation work on our behalf and receive the details they need to attend and complete your installation
Organisations that use your information for their own purposes:
- Your local electricity Distribution Network Operator. We must apply to them for permission to connect your charger, which requires us to send them your name, address and details of the installation. They use this information for their own regulated purposes and are independently responsible for it.
- Our competent person scheme, so that your installation can be notified as required under the Building Regulations — NICEIC
- The administrator of any government grant scheme you are applying under, where we make or support an application on your behalf
- Our payment providers, where you pay by card or through an online payment service
- Finance providers, if you choose to spread the cost of your installation. We may pass on the details needed to set up your application; from that point the provider deals with you directly and makes its own decision about it
- Charger manufacturers, where needed to register or support your warranty
- Google and Meta, which provide our advertising and website analytics
- Our accountants, insurers and professional advisers
Legal and regulatory disclosures
We may disclose your personal information where we are required to do so by law — for example to comply with a court order, a warrant, or a statutory information notice from a regulator or public authority such as HM Revenue & Customs or the Information Commissioner's Office.
We may also disclose it where we are permitted to do so and consider it appropriate — for example in response to a request from the police for the purposes of preventing, investigating or detecting crime. We are not obliged to disclose information in response to such requests, and we consider each one individually on its merits.
We may also disclose it where necessary in connection with legal proceedings, to obtain legal advice, or otherwise to establish, exercise or defend our legal rights.
6. Sending information outside the UK
Some of the suppliers listed above are based outside the United Kingdom, including in the United States.
UK law allows personal information to be sent overseas only where certain protections are in place. Where we transfer your information outside the UK, we rely on one of the following:
- the receiving organisation being covered by UK regulations recognising that it provides an adequate level of protection — which, for US suppliers, means they are certified under the UK Extension to the EU–US Data Privacy Framework; or
- a contract containing standard data protection clauses approved for use in the UK, together with our assessment that your information will continue to be properly protected.
You can ask us for details of the protections we rely on for any particular supplier by contacting us.
7. Cookies and similar technologies
When you visit our websites, we and our suppliers store small files on your device, or read files already stored there. These are used for the following purposes:
- Making the site work and keeping it secure, including protecting it against automated abuse
- Understanding how the site is used, so we can count visits and improve it
- Measuring our advertising, so we can see which advert or search brought you to us and whether it led to an enquiry
- Linking enquiries and telephone calls to their source, which may include changing the telephone number displayed on the page so we can tell which advert produced the call
You can control or delete these files at any time through your browser settings. Every major browser lets you block or remove them, and blocking them does not stop you using the site, requesting a quote, or receiving our service. Help pages for each browser can be found at aboutcookies.org.
You can opt out of advertising cookies used for personalised advertising at youronlinechoices.com and, for Google specifically, through Google's Ads Settings.
If you have opted in to marketing from us, your cookie choices do not affect that. They are separate, and you can withdraw marketing consent at any time using the details in section 1.
8. How long we keep your information
This is how long we keep each type of information:
- Your enquiry, if you did not go ahead with an installation — your name, contact details and the property information you gave us — 3 years from your last contact with us
- Your installation records — installation details, site photographs, electrical certificates, warranty records and the contact details attached to them — 10 years from the date your installation was completed
- Accounting and tax records — invoices, payments and the financial records behind them — At least 6 years after the end of the accounting period, as required by law
- Recordings of telephone calls you took part in — Up to 24 months. A recording connected to a dispute or a claim is kept until the matter is resolved
- Your marketing preferences — the record of what you agreed to, when, and the wording you were shown — For as long as we rely on your consent, plus 6 years afterwards as evidence that it was given
- Our opt-out list — the minimum details needed to recognise someone who has asked not to be contacted — Kept indefinitely, so that we never contact you by mistake
- Website analytics data — information about how people use our website — Up to 14 months
When we no longer need your information, we delete it or anonymise it securely.
9. How we protect your information
Access to stored personal information is restricted to named members of staff who need it for their role, and is password protected. We require suppliers who handle personal information on our behalf to keep it secure and to use it only on our instructions.
10. Your rights
Under UK data protection law you have the right to:
- Be informed about how we use your personal information — which is what this policy is for
- Access the personal information we hold about you, and receive a copy
- Have inaccurate information corrected
- Have your information deleted, in certain circumstances
- Restrict how we use your information, in certain circumstances
- Object to our use of your information where we rely on legitimate interests — and an absolute right to object to direct marketing at any time
- Portability — receive certain information in a machine-readable format, or ask us to send it to another organisation
- Withdraw your consent at any time where we rely on it. Withdrawing consent doesn't affect anything we did before you withdrew it.
To exercise any of these rights, contact us at enquiries@plugin-stations.com or on 0203 795 7117.
11. Complaints
If you are unhappy with how we have handled your personal information, please tell us first — we would like the chance to put it right.
You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator:
- Website: ico.org.uk/make-a-complaint
- Helpline: 0303 123 1113
- Post: Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF
12. Changes to this policy
We may update this policy to reflect changes to our practices or for legal or regulatory reasons. The date at the top shows when it was last updated. Where changes are significant, we will tell people who have opted in to hear from us.
